Health and Safety policy

Man and Van Barbican Health and Safety Policy

Man and Van Barbican is committed to providing a safe and healthy working environment for our employees, contractors, customers and members of the public who may be affected by our removal and delivery activities. This Health and Safety Policy sets out our approach to managing risks associated with moving, loading, unloading, transporting and handling goods in residential and commercial environments.

Policy Statement

Our policy is to prevent injury, ill health, damage to property and harm to the environment arising from our operations. Health and safety is an integral part of our planning and decision making, and we expect everyone working with or on behalf of Man and Van Barbican to share this commitment.

We will identify hazards, assess risks and implement proportionate control measures to ensure that our moving and transport services are carried out safely, efficiently and with due consideration for all people and premises involved.

Legal Compliance and Standards

Man and Van Barbican will meet or exceed all applicable health and safety legislation and recognised industry standards relevant to removal, transport and handling activities. We will keep our procedures under review to reflect any changes in legal requirements, best practice guidance and developments in the removals sector.

Responsibilities

Ultimate responsibility for health and safety rests with the company management, who will provide leadership, resources and support to ensure this policy is implemented effectively.

Managers and supervisors will:

Ensure that risk assessments are completed and kept up to date for removal, lifting, carrying, loading and unloading tasks.

Provide appropriate instructions, information and training to employees and contractors.

Monitor working practices to confirm that safe systems of work are being followed.

Investigate incidents, accidents and near misses, and ensure corrective actions are implemented.

Employees and contractors have a duty to:

Take reasonable care of their own health and safety and that of others who may be affected by their actions.

Follow all safety instructions, procedures and training provided.

Use equipment, vehicles and personal protective equipment correctly and report any defects immediately.

Report hazards, unsafe conditions, incidents and near misses to management without delay.

Risk Assessment and Safe Systems of Work

We will conduct and maintain suitable and sufficient risk assessments for our routine and non-routine activities. These include, but are not limited to, manual handling, moving heavy or awkward items, navigating stairs or confined spaces, loading and securing goods in vehicles, and operating in busy urban environments.

From these assessments we will develop safe systems of work that address the specific challenges of removal and delivery tasks. These systems will be communicated to all relevant staff and periodically reviewed in light of operational experience, feedback and incident trends.

Manual Handling and Lifting

Manual handling is a core part of our service and a key area of risk. To minimise the likelihood of injury, we will:

Provide manual handling training appropriate to the work undertaken.

Encourage the use of mechanical aids and handling equipment where reasonably practicable.

Plan lifts in advance, assessing load weight, shape, stability and route.

Ensure team lifting and correct techniques are used for heavy, bulky or awkward items.

Discourage lone handling of items that present an elevated risk.

Vehicles, Driving and Transport Safety

Our vehicles are central to our operations and will be maintained in a safe and roadworthy condition. We will:

Ensure that drivers are competent, licensed and familiar with the vehicles they operate.

Carry out regular vehicle inspections, servicing and safety checks.

Plan routes to minimise risk, taking into account access, loading zones and traffic conditions.

Secure loads correctly to prevent movement, shift or falling items during transit.

Promote safe driving practices, including adherence to speed limits, rest breaks and relevant road regulations.

Customer Premises and Public Safety

Our work often takes place in and around customer homes, offices and shared public spaces. We will take reasonable steps to protect customers, visitors, neighbours and the general public by:

Maintaining clear access routes and minimising trip hazards, such as loose packing materials, tools and equipment.

Using warning signs or verbal warnings where necessary to highlight moving loads or vehicle manoeuvres.

Handling customer property with care to avoid damage, spills or unsafe stacking of boxes and furniture.

Coordinating closely with customers to agree safe access points, loading locations and timing of works to reduce disruption and risk.

Training, Information and Supervision

We will ensure that all employees receive suitable health and safety induction and role-specific training related to removal and transport work. Training may include manual handling techniques, use of equipment, hazard awareness, incident reporting and safe driving practices.

Refresher training will be provided as necessary, particularly following incidents, changes in procedures or the introduction of new equipment. Adequate supervision will be maintained to verify that training is applied in practice and that standards are upheld.

Equipment, Tools and Personal Protective Equipment

All equipment and tools used in connection with our services, such as trolleys, straps, protective blankets and lifting aids, will be maintained in good condition and inspected regularly. Any defective or damaged equipment will be taken out of use until repaired or replaced.

Where personal protective equipment is required, such as safety footwear or gloves, it will be provided and its use enforced in accordance with the assessed risks and the nature of the job.

Incident Reporting and Investigation

All accidents, injuries, near misses and hazardous occurrences must be reported promptly to management. We will investigate these events to identify root causes and implement measures to prevent recurrence. Lessons learned will be communicated to staff and, where appropriate, incorporated into updated procedures and training.

Consultation and Communication

Man and Van Barbican values the input of employees and contractors in improving health and safety performance. We encourage open communication about safety concerns, suggestions and experiences. Regular discussions, briefings and feedback sessions will be used to share information on hazards, controls and performance.

Monitoring, Review and Continuous Improvement

We will monitor our health and safety performance using appropriate indicators, such as incident trends, inspection findings and customer feedback. This policy and the associated procedures will be reviewed periodically, and at least annually, to ensure they remain effective, relevant and aligned with our operational needs.

Man and Van Barbican is dedicated to continual improvement in all aspects of health and safety management. By working together, we aim to provide a professional moving and transport service that protects our workforce, our customers and the wider community.
